Several years ago I was a guest on the Transparency Talks Podcast but recently I was inspired to listen to it again. 

This particular quote during our conversation about working with the media (below) struck me as being of interest to you as well.

"When i'm approaching the members of the media I offer more than I'm asking for. I always promote every single media event, in every aspect, in every way that I could possibly do, & I do this multiple times -  like even years later , I'll go back to listen to the interview, find a worthy quote and share it again: 

'Oh I'm just looking back at this interview and this inspired me, or 'I was remembering this about the discussion.' 

In fact, I just did some of these over on my Socials the other day. I tend to share a series of quotes for blog post content several years after they were published. this gives me a chance to highlighting those discussions. And this makes members of the media feel like you are someone that you they want to work with.

But you also want to make sure that your queries are really clean cut. They don't have a lot of time you know sometimes we're getting 100 or more
emails and queries and submissions and so you want to make your letter to that individual really stand out. Be short, sweet, make use of  hyperlinks  - you could have 'check out my my FaceBook' and the word -facebook- would be hyperlinked so that keeps it really short and sweet.

When they're reading it - visually - they're glancing at the letter and might feel: ' ugh - I don't have time, this is too much, it looks unprofessional, they look like they are going to be a lot of work, there's way too many words, I don't have time  -  I'm going to put this aside.'

Now there your letter sits, maybe it gets lost, or they forget about it, they might not ever feel inspired to look at it again. But if you keep it short and sweet like that where they could just click when they're ready to click to learn more then that makes it really easy for them.

Your letter needs to show that you are super gracious, kind, thoughtful... and you want to make sure that you're prepared that they never have to work for anything you have absolutely everything they could possibly want ready to go. This means, before sending that query you need a few draft email responses, a list of resources or an author information packages for them, and several articles ready for them to use.  

You want to be someone really easy to work with."
